Privacy Policy

RC Management is operated by RC Management Systems, LLC ("we," "us," "our"). This policy covers the RC Management web application and the RC Management mobile app (together, the "Service"), used by church staff, council/committee members, and administrators to manage congregation records, meetings, giving, and finances.

Information We Collect

Account information

Name, email, phone, and role/permissions for each person your church invites to use the Service.

Congregation (parishioner) records

Information your church chooses to record about its members and households: name, contact information, address, membership status, join date, and family/household relationships.

Giving and financial records

• Contribution and pledge records — amounts, dates, and designated funds — recorded by your church's staff.
• Online giving payments are processed by Stripe, Inc. Card and bank account numbers are entered directly into Stripe's secure systems and never pass through or are stored on our servers — we retain only a Stripe-issued reference ID.
• General ledger, budget, bill payment, and bank reconciliation records your church enters for its own bookkeeping.

Staff and payroll

Basic staff records (name, position, hire date) and, for churches that opt into hourly pay tracking, logged pay periods and gross pay amounts. If a church uses a third-party payroll provider (SurePayroll), payroll is processed directly on that provider's platform — we do not store bank account or Social Security numbers.

Meeting records

Agendas, minutes, motions, votes, attendance, and officer/committee reports your church's council and committees create through the Service.

Communications

We use Mailgun to send emails (e.g., meeting packets, notifications) on your church's behalf, and a telecom provider to send SMS text messages where a church has that feature enabled.

How We Use Information

• To operate core features: congregation records, meetings/minutes, giving, financial reporting, and staff/payroll tracking.
• To send notifications and communications your church configures or requests.
• To provide customer support.

We do not sell personal information, and we do not use it for advertising.

Who We Share Information With

• Stripe — payment processing for online giving and subscription billing.
• Mailgun — sending/receiving church email.
• SMS/telecom provider — sending/receiving text messages, where enabled.
• SurePayroll (only if a church opts into managed payroll) — payroll is processed directly on that provider's platform; we do not share payroll data ourselves, we only link staff to that provider's portal.
• Your church's own staff and council/committee members — information is visible to the people your church has given access to, according to the roles and permissions your church configures.

We do not share information with third parties for their own advertising purposes, and the RC Management mobile app does not include analytics or advertising SDKs.

Data Retention & Deletion

We retain your church's records for as long as its account remains active, plus a reasonable period after to support recordkeeping needs. To request deletion of an account or specific records, email support@rcmanagementsystems.com — we process deletion requests manually and will confirm once complete, except where certain records must be retained by law.

Data Security

We use industry-standard safeguards, including encrypted connections (HTTPS/TLS) and access controls limiting visibility to each church's own data and each user's assigned role. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

Your Choices

• Notification preferences can be managed in your account settings.
• You may request a copy of, correction to, or deletion of your information at any time by contacting us.

Changes to This Policy

We may update this policy from time to time. Material changes will be posted here with an updated effective date.
